Privacy Policy
The short version
- Your semester (courses, deadlines, notes, grades and syllabuses) is saved on your device. When you're signed in, a copy is kept on our server so it's the same on all your devices and the web. You can turn this off for any device in Settings, Your account.
- When Syllabi reads a syllabus, summarizes your notes or answers a question with AI, that text is sent to do it, then not kept.
- For course documents you add (like assignment instructions), we keep only the facts Syllabi finds and short quotes, never the whole text.
- If you make an account, we keep your email address and how much of the free plan you've used.
- If you pay on the web, we keep invoices and credit notes as tax records, including after you delete your account.
- No ads, no tracking, and we never sell your information.
Who we are
Syllabi (called Syllo until November 2026) is a student planner for iPhone, iPad, Mac and the web (app.syllabi.ca), made by Dandre Sterling in Canada ("we"). This policy explains what Syllabi does with your information. Dandre Sterling is the person responsible for protecting it (our privacy officer). Questions go to support@syllo-ai.ca.
What stays on your device
If you're not signed in, or you turn sync off for a device, these are saved only on that device and we can't see them. When you're signed in, sync (below) keeps a copy of your semester and some settings on our server.
- Your courses, deadlines, classes, exams, personal events, study sessions, notes, grades and checklists.
- Syllabus files you upload, and photos you take of a syllabus. These always stay on your device: only what Syllabi reads from them syncs. Text in photos and scans is read on your phone, or in your browser on the web.
- Your settings: name, theme, light or dark, language, study timer, reminders and term dates.
- Home screen widgets show a copy of your upcoming dates that stays on your phone.
- Reminders are scheduled on your phone.
- Handwritten notes, imported slides, lecture recordings and their transcripts. Handwriting is read on your phone (for search and summaries), and transcripts are made on your phone.
- Notes in Recently deleted, earlier versions of your notes, and backups you save to Files.
Your calendar
If you turn on Calendar sync, Syllabi asks for access to your calendars and adds your deadlines, exams and classes to the calendar you pick (such as iCloud, or Google if that account is on your phone). Syllabi only changes events it added, and removes them if you turn sync off. Other events in your external calendar are not sent to us. Personal events you create in Syllabi sync with your semester when sync is on.
Camera
Syllabi uses the camera only when you choose to scan a printed syllabus. It uses the microphone only while you record a lecture, and speech recognition only to write that recording's transcript on your device.
What leaves your phone, and why
Your semester on every device (sync)
When you're signed in to Syllabi or the web app, your semester is kept on our server so it's the same on your iPhone, iPad, Mac and the web: your courses, deadlines, classes, notes, grades, checklists, course card pictures and term dates, your name, theme, light or dark, language and study timer, and for handwritten notes, the ink, page pictures, imported slides and lecture recordings. Reminders, notifications, widgets and Calendar sync are set on each device and aren't sent. Only your account can read it. It stays until you delete it or your account. Each account can keep up to 30 MB of semester data.
While you're signed in, the app may also check for changes in the background now and then (when iOS allows it), so a date you add on the web gets its reminder on your phone without opening Syllabi.
You can turn sync off for any device in Settings, Your account, Sync this device. Your semester stays on that device, but its changes no longer reach your other devices or the web, and theirs no longer come to it. If you turn it back on, that device's version wins wherever it and your account have the same thing, and anything only on your account is added to it.
The web app also keeps your sign-in and a copy of your semester in your browser's storage on your own computer, so it opens quickly. Signing out removes them. It uses no advertising or tracking cookies.
Reading a syllabus and the assistant
To read a syllabus, Syllabi sends its text to our server, which passes it to OpenAI (the GPT-6 Luna model) and sends the dates and grade breakdown back to your phone. When you ask the assistant a question, your question and a short summary of your courses and dates go the same way.
- We don't keep the syllabus text, your questions or the answers on our server.
- We ask OpenAI not to store them. OpenAI doesn't use this data to train its models, and may keep it for up to 30 days to check for abuse before deleting it.
- If the cloud isn't available, Syllabi reads syllabuses on your phone instead (with Apple Intelligence where your device has it, or Syllabi's own reader).
Summarize these notes
When you tap "Summarize these notes", the words in that note (for handwriting, the words your phone read from it) go the same way to OpenAI, and the summary comes back as a new note. We don't keep the note or the summary on our server.
Uploading several syllabuses at once
When you upload two or more syllabuses together, your phone sends their text to our server so they can be read while you do something else. The text is deleted as soon as each one is read, and the results are deleted once your phone collects them, or after 3 days at most. If you allow notifications, we keep your device's notification address with the upload, only to send "Your courses are ready", and delete it with the upload.
Notion
If you connect Notion, you choose which pages Syllabi may see. Notion gives your phone a key that is kept in your device's Keychain; our server only passes it to your phone during sign-in and keeps it for at most 15 minutes. Syllabi reads the pages you pick directly from Notion on your phone. We don't keep your Notion pages. You can disconnect in Syllabi at any time.
Course documents
You can add course documents such as assignment instructions, a rubric or exam information. Syllabi reads the document's text on your device (on the web, in your browser) and keeps only what it finds: short facts such as a due date, a length or a file format, each with a quote of at most 300 characters from the document and the page or section it came from, plus the file's name, its kind and a SHA-256 hash of its text (a fingerprint that recognizes the same file again; the text can't be rebuilt from it). The full text is never kept: not on your device, not in your browser and not on our server.
- If you choose AI reading for a document, its text goes to OpenAI through our server the same way as a syllabus (we ask OpenAI not to store it, as above), and we don't keep it.
- When you're signed in with sync on, the facts and quotes sync with your semester.
- Settings, Privacy, Delete document quotes removes every quote from every document; the facts themselves stay. Deleting a document deletes it everywhere.
Sharing with an academic advisor
Syllabi is adding a way to share part of your semester with the academic advisors at your college, so they can help you plan. For now it is a preview that only the founder uses, with fictional students; it isn't available to students yet. When it is, it will work like this:
- Nothing is shared unless you choose to share it. You pick the courses and what advisors see for them: deadlines (due dates, weights and whether they're done), progress on steps (counts only), your study plan and class times, and busy and free times (your other commitments show only as "Busy").
- Your grades and notes are never shared unless you add them to a share yourself. The titles, places and descriptions of your personal events are never shared.
- You share only with advisors at a college that takes part in Syllabi and has confirmed them: one advisor you name, or the college's advising team.
- A share can be temporary, ending on a date you pick, and you can stop it at any time. When it stops or ends, advisors lose access at once and the copy they could see is deleted from our server.
- An advisor can suggest a plan, but nothing changes in your calendar unless you approve it.
- We keep a history of your sharing (what you shared, with whom, until when, and when it changed, ended or was stopped) so you can look back at it. Advisors can't see this history. It's deleted with your account.
Usage counts
To keep the free plan fair and our costs in check, our server counts how many syllabuses you read and messages you send each day. Before you have an account, these counts are tied to a random ID made on your phone, not to you. The ID is kept in your phone's keychain, so it stays if you delete and reinstall Syllabi. When you read a syllabus with Syllabi Pro, our server asks RevenueCat whether that anonymous purchase ID has Pro, to allow Pro's higher yearly upload count. The date your 14 days of Pro started is kept only on your phone. With an account, the counts are tied to your account. We keep only the counts and dates, never the text, and delete them within 12 months.
To stop one person or script from using up the AI for everyone, our server also counts AI requests per internet connection each day. It keeps only a one-way scrambled code made from your connection's address and the date, never the address itself, and deletes it after 2 days.
Syllabi also sends anonymous counts of how often its parts are used each day (for example, how many times the calendar or notes were opened), with the kind of device, the language and the app version. They carry no ID, no account and no content, so they can't be linked to you. They help us see what to improve. You can turn them off in Settings, Privacy. We delete them after 400 days.
Our website (syllabi.ca) and web app (app.syllabi.ca) count visits the same anonymous way: how many pages were viewed each day, how many people visited (your browser remembers, only on your own device, that it was already counted today), where visits came from (for example Instagram or a search engine), and which main buttons were used. No cookies, no ID and no IP address are kept. If your browser asks sites not to track you (Do Not Track), nothing is counted.
Your account
An account is optional; you can use Syllabi's planner without one. The assistant and the free 14 days of Syllabi Pro need one. When you make an account, we keep:
- Your email address, to send you a sign-in code. If you use Sign in with Apple, Apple gives us an ID for your account and either your email or a private relay address.
- When your free Pro trial started, and how many messages and uploads you've used.
Syllabi Pro purchases
In the app, Apple handles payment. On the web, Stripe handles payment through RevenueCat. We never see your card. We use RevenueCat to know whether your account has Syllabi Pro. RevenueCat receives your purchase record from Apple or Stripe and an ID for your account; Stripe also receives the email and card details you give it at checkout.
Invoices for web payments
For a payment on the web, we keep an invoice and, if you receive a refund, a credit note. These records include your name and email when available, what you bought, the amount and currency, payment and subscription dates, transaction references and a PDF. They are stored privately on our Supabase server. Your invoice or credit note is available in your account (Settings, Billing, Invoices) and emailed on request: when you ask for it by email, we send it through Brevo, which receives your email address, your name when available and the PDF. App Store purchases use Apple's receipts instead.
We retain these billing records for tax recordkeeping, including after you delete your account. The normal minimum retention period is six years after the end of the tax year the record relates to; records may need to be kept longer where required by law. Deleting your account removes its link to these records, but does not erase the name and email already written on an invoice or credit note.

What we don't do
- No ads and no ad tracking.
- No analytics or tracking tools that follow you across apps or websites. Our own usage counts are anonymous and can be turned off.
- We never sell or rent your information.
- Your syllabuses, notes and grades are never used to train AI.
Your choices
- Delete your account in Syllabi or the web app under Settings, Your account. This deletes your account, sign-in email address, trial, usage counts, synced semester and notebook files from our server. Invoices and credit notes, including any name and email on them, remain as tax records as described above. Data on your device stays until you delete it or the app.
- Delete everything on your phone by deleting the app.
- Calendar, camera, microphone, speech recognition and notification access can be turned off at any time in the Settings app on iPhone and iPad, or in System Settings, Privacy & Security on a Mac.
- Anonymous usage counts can be turned off in Syllabi under Settings, Privacy.
- Document quotes can be deleted in Syllabi under Settings, Privacy, Delete document quotes.
- Sharing with an advisor, once available, can be stopped at any time under Settings, Advisor support.
- Notion can be disconnected in Syllabi under Import, From Notion.
- Ask us what we hold about you, or to correct or delete it, at support@syllo-ai.ca. We reply within 30 days.
Children
Syllabi is made for high school, college and university students and is not meant for children under 13. In Quebec, students under 14 need a parent or guardian's permission to make an account. If you believe a child has made an account without that permission, contact us and we'll delete it.
Security
Information sent between Syllabi and our server is encrypted in transit, and our server's database and files are encrypted at rest. Each account can reach only its own data. Your sign-in is kept in your device's Keychain (on the web, in your browser). If a breach puts your information at real risk, we'll tell you and the Privacy Commissioner as the law requires. No system is perfectly secure, but we keep what we hold to the minimum Syllabi needs.
Changes to this policy
If we change how Syllabi handles your information, we'll update this page and the date at the top. For important changes, we'll tell you in the app.
